Position Summary

Provides administrative support to the Security department including, but not limited to, maintenance of access control credentials, maintenance of fleet management data, issuing of parking credentials, issuing parking citation notifications, supply ordering and mail distribution. Resolves customer issues and ensures direction and connection to the appropriate resource is provided.

Required Skills

  1. Serves as the primary resource for the Security Service Center, providing Tier 1 support to in-person, electronic, and telephonic inquires. Triages inquiries to the appropriate Security resource, when needed.
  1. Administers the system level creation, replacement, and distribution of access control identification badges and the assignment of security access levels.
  1. Processes key, badge, and vehicle permitting requests, and distributes keys and parking permits.
  1. Supports the Memorial Health Fleet Management process, including creating and updating driver and vehicle profiles, requesting motor vehicle records, tracking vehicle recalls and maintenance quotes, and managing the fleet vehicle registration and renewal.
  1. Supports the Memorial Health parking enforcement process, including preparing parking audit reports, , and issuing parking citation notifications to appropriate parties.
  1. Serves as back up support for the SMH dispatch role by answering calls or making notifications during emergencies or peak call times. Provides relief for breaks and lunches as necessary.
  1. Manages large amounts of sensitive, confidential information concerning personnel and patient information. Adheres to all hospital policies including patient privacy and confidentiality policies.
  1. Orders office supplies for Security department and ensures supply levels are maintained.
  1. Assists with the processes relating to lost and found items, patient valuables, and personal belongings for terminations.
  1. Maintains and files security documentation in accordance with document retention requirements.
  1. Assists in the care and maintenance of department equipment, supplies, and facilities.
  1. Receives, sorts, and distributes incoming mail and prepares and sends outgoing mail and packages.
  1. Provides administrative support for Security leaders as needed, including the assignment of special projects.
  1. Performs other related work as required or requested.

Required Experience

Education:

  • High School diploma or GED is required.
  • Associate’s degree is preferred.

Experience:

  1. Information Processing
  • Prioritizes stat orders and immediate needs.
  • Processes orders accurately.
  • Accurately inputs data into the electronic medical record and maintains accurate paper records for those items that are not computerized.
  • Refers patient/visitor concerns to nursing and/or customer service staff.
  • Refers news media to nursing or public relations staff.

 

  1. Medical Records Maintenance
  • Assembles admission chart packs.
  • Puts patient identifier on all chart forms.
  • Scans patient documents to Medical Records.
  • Gathers and copies appropriate paperwork from the RN for patient transfers to other units and facilities.
  • Manages large amounts of sensitive and confidential information concerning patient and family information in medical documents.

 

  1. Service Requisitions
  • In partnership with the Nursing Material Specialists, assures adequate supplies are available.
  • Reviews receipts of new supplies and equipment upon arrival; validates accuracy and places supplies in assigned location.
  • Sends service requisitions to interdisciplinary departments.
  • Facilitates maintenance of equipment with Biomed or appropriate department.
  1. Unit Operations
  • Completes basic patient care tasks as directed by registered nurse.
  • Serves/monitors/collects food trays/utensils.
  • Responds to call lights and bed/chair alarms.
  • Provides 1:1 direct and constant patient observation including the completion of observation rounds as delegated.
  • Assists in completing witness undress for patient safety upon admission
  • Assists in completing environment and room safety checks.
  • Expedites timely admission, discharge, and transfer of patients to facilitate patient flow.
  • Participates in QI activities; maintaining logs, statistical records, and data collection.
  • Acts as a preceptor as needed.
  • Handles medications delivered from pharmacy directly or through the pneumatic tube system. Relocates these medications, in original containers, to designated secure storage locations or delivers directly to appropriate licensed staff.

Required Experience

Education:

High school graduate or GED required; associates or bachelor’s degree preferred.

Licensure/Certification/Registry:

  • Basic Life Support (BLS) Certification within 30 days of job placement is required.

Successful completion of Safety First Training within 30 days of hire and annually thereafter required.

Experience:

  • Minimum of two years’ security officer, law enforcement or military experience is required.
  • One-year secretarial or comparable clerical experience strongly preferred.
  • Prefer minimum of one-year MH Security experience.

Other Knowledge/Skills/Abilities:

·         Ability to remain calm and collected in stressful situation, utilizing rational thinking and decision-making is required.

·         Ability to manage and prioritize several incidents/tasks simultaneously is required.

Environmental Factors

Will be exposed to dangers of assault and hazard resulting from investigation of alarms, confronting suspicious persons, calls for service, and other breaches of the peace.  Must have ability to perform job functions outdoors in inclement weather; must be available to work on shift and be subject to on-call.  Occasional involvement in patient restraint.

Physical Demands

The physical demands described are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Must be able to stand, walk and sit for prolonged periods. Occasional stooping, kneeling, bending, stretching and extension of arms is required.  Occasional running is required. 
  • Must be able to rapidly climb up five flights of stairs while carrying a ten pound fire extinguisher. Must be able to move fifty pounds to waist level using proper body mechanics.
  • Must have visual acuity and field of vision sufficient or correctable to see suspicious activity/persons, or unsafe/out of norm conditions day and night.
  • Must have near visual acuity sufficient or correctable to read reports, work with records and files, and view CCTV monitors.
  • Must have hearing sufficient or correctable to notice unusual noises, alarms, radio calls and pages, and calls for help. Must possess assisted coordination/ability in both hands sufficient to lock/unlock doors, type, open doors, and operate a two-way radio, write notes, hold, carry and manipulate items.
