Our Cancer Registrar Assistant maintains integrity and completeness of hospital’s cancer registry using approved software. The Cancer Registrar Assistant also identifies cancer cases and abstracts hospital medical records for cancer registry data requirements.

This position also reviews hospital medical records for determining patient cancer status. As well as performing studies, prepare reports and maintain computer program knowledge.

Maintains compliance with Illinois State Cancer Registry and American College of Surgeons Commission on Cancer Standards.

Required Skills

  • Conducts case finding and identifies cases appropriate for abstracting based on pathologic and clinical criteria; enters all cases into suspense list for future abstracting.
  • Abstracts data and codes elements for identified cancer cases using proper methodology defined by accrediting and regulatory bodies.
  • Uses a systematic process to review death information and keeps registry updated with information on patients who have expired.
  • Perform data entry quality control and log maintenance for abstract forms.
  • Assist registrar with registry data quality control by making corrections to previously abstracted cases, as needed.
  • Serve as Coordinator for Tumor Boards.
  • Identify, monthly, all patients due for cancer status follow up.
  • Pull appropriate department records and record cancer status information in the cancer registry database.
  • Prepare initial follow-up letters for patients without current follow up using the cancer data system software follow up program.
  • Record all response information on the appropriate form upon receipt of MD response.
  • Send second request letters, death request forms, patient request letters as needed.
  • Enter all current follow-up information into the data system software program.
  • Maintain search for lost to follow up and death information.
  • File abstracts on the MMC charts of those registry patients who have expired.
  • Write data reports from the cancer registry software database.
  • Assist Cancer Committee members in design and data collection for quality cancer studies.
  • Assist physician offices in providing follow-up information needed on registry patients.
  • Other duties as assigned by the Administrator or Director, Oncology Services for the Regional Cancer Center.
  • Performs other related work as required or requested.

Required Experience

Education:

·         Successful completion of 24 hours college course work in medical/biological sciences or one year experience in approved registry, or five years experience in record analysis, preferably in a medical records dept.

Licensure/Certification/Registry:

·         Eligibility within three years of hire to sit for the certification examination as Certified Tumor Registrar.

Other Knowledge/Skills/Abilities:

·         Computer skills consistent with in depth use of the electronic health record and software to collect and analyze cancer registry data.

·         Maintains expertise in cancer staging and applies the elements with a high degree of accuracy.
