Required Skills

  1. Interprets, orders, and generates barcode labels from the Lab LIS system and applies labels to appropriate specimen tubes and collection containers. Must be able to interpret many different physician orders and requests to include over 1800 lab tests and select the appropriate orderable code in the Lab LIS system.
  1. Removes biological specimens from biohazard bags including blood, urine, bone marrow, body fluids, and tissue specimens. Understand all different types of collection media, preservatives, and risks of exposure to infectious agents. Handles both infectious A and B substances with appropriate CDC, and IDPH guidelines. Ability to determine if specimen was collected in appropriate collection container and media. Understands steps to resolve collection issues to ensure patient testing is performed or recollected.
  1. Receives all calls arriving in the laboratory from providers, clients, nurses, management, and patients. Logs calls in tracking software, answers all questions pertaining to phlebotomy draws, specimen collection, transport of specimens, provides lab results, supply requests, forensic autopsy cases, and administrative questions. Escalates callers to management or technical departments when necessary if unable to resolve all question  
  1. Correctly enters outpatient and non-patient demographic, insurance, and diagnosis information into the hospital registration system, answering all questions in each field and updating any information that is not current. Understands insurance policy numbers and carrier codes including client account versus patient insurance billing. Recognizes valid diagnosis codes and follows appropriate resolution on any noncompliant codes.
  1. Monitors the printing of physician reports for inpatients and outpatients. Separates lab reports for delivery to the correct ordering provider or client site to ensure providers receive lab results in a timely manner.
  1. Communicates requests for specimen collection to phlebotomists in a timely and appropriate manner. Works closely with phlebotomy staff and managers to organize and facilitate inpatient and outpatient phlebotomy requests.
  1. Inputs all faxed orders into the lab orders database, questioning any illegible order, calls physician’s office with clarification of test order and patient demographics and order request (standing or one time).  Follows all instructions on provider order including, add on testing and testing cancelations. Understands how to handle a verbal order request from a provider and documents correctly.
  1. Schedules all fine needle aspirates and biopsies as requested by clinicians, ensures a pathologist is dispatched when clinician is ready to perform procedure.
  1. Processes all slide and block requests for internal and external consultations, including preparing appropriate paperwork, requesting material, pathologist review and sign off, shipping, and material returns.
  1. Assists with the preparation of slides and blocks for sendout testing.  
  1. Contribute to departmental operations by performing other related duties as may be required and/or assigned.
  2. Monitors the laboratory computer system operations menu to ensure all operations are running and respond to the appropriate prompts to print daily reports. Notify appropriate computer operations staff concerning exceptions.
  1. Maintains and scans patient records according to government regulations and accreditation guidelines.
  1. Ensures that professional and personal activities conform to Memorial Medical Center strategic plan and philosophy regarding the Guest Relation Program.
  1. Performs other related work as required or requested.

Required Experience

Education:

  • Education equivalent to a bachelor’s degree, preferably in business, marketing, advertising or related field is required (or the equivalent in related work experience).

Licensure/Certification/Registry:

Creates schedules for team members, coordinates training and orientation of all new personnel to team, ensures team members’ compliance with all departmental and organizational policies and procedures, and prepares and conducts employee performance evaluations utilizing tools provided. Oversees day-to-day activities and responsibilities of cash posting team responsible for receipt, posting and reconciliation of all incoming cash payments. Pulling remits from vendor websites, which include 835/EFT posting, insurance checks and personal payments that come thru the mail.  Bad debt agency checks, bank loans, payroll deduction payments, NSF, State of Illinois sold vouchers, and intercorporate transactions.
  1. Acts as a Liaison for General Accounting and Treasury. Responsible for posting all the cash and are needed to help reconcile all items posted to the bank accounts.  This consists of 10 bank accounts from different accounting departments.  Maintains a daily cash reconciliation sheet used to provide information to general accounting and researches any discrepancies between reconciliation sheet and what was deposited in the bank. General accounting also has an outstanding list that is worked to ensure all deposits are posted.
  1. Acts as a Liaison for Anesthesia billing. Responsible for pulling their 835’s and EOB’s from MMC and required to FTP to the billing company. Maintains a cash reconciliation spreadsheet to keep track of all payments. Tracks any payments that are comingled with MHS payments.
  1. Acts as a Liaison for Trubridge which is an outsource company that posts TMH/ALMH payment in their old system CPSI. Researches any posting errors from the vendor and provides any EOB’s.  Ensures anything not done by the vendor is done by the cash posting team (payroll, State of Illinois sold vouchers, NSF and credit cards payment).
  1. Assists team with posting cash when necessary.
  1. Supervises the daily work of mail correspondence. Which consists of opening incoming mail and routing to the correct person or place.  Getting all outbound mail ready to send out and take to the correct location for pickup.  Also scanning all EOB’s and work that is done in Cerner Revenue Cycle in Application extender.  Assists in scanning issues or looking for EOB’s within Cerner.
  1. Supervises the daily cash reconciliation process, consisting of balancing daily reports from systems. Verifies balances and ensures balances are in appropriate column on our spreadsheet by entity.
  1. Investigates and resolves day-to-day operational problems encountered. Works closely with Revenue Informatics team to trouble shoot problems. Assures posting errors are corrected in a timely manner.  Stays ahead of technology changes coming with posting and updates to the Cerner platform and assists in testing payments in Dev, Cert, and Production environments.
  1. Develops and maintains written procedures for working each individual area as guided by department manager.
  1. Operates within the limits of the staffing budget or demonstrates measures taken to correct.
  1. Establishes a positive working relationship with all affiliated parties, IT staff and vendor representatives.

Required Experience

Education:

  • High school diploma or its equivalent is required.

Experience:

  • Performs clerical functions (i.e. receives, opens and distributes mail; answers, places and routes telephone calls and pages utilizing appropriate communication skills and procedures; maintains appropriate level of clerical supplies; manages Radiology communication slips appropriately; processes completed ED patient record accurately, timely, and in appropriate manner; transmits records to attending physicians in accordance with Department policy and procedures).
  • Communicates with Pre-Hospital personnel in accordance with Department policy and procedures utilizing appropriate communications equipment and logs.
  • Understands and functions appropriately for all Medical Center and Department “Conditions”.
  • Provides preceptor functions as directed by Manager and/or Supervisor.
  • Maintains familiarization with location and operation of equipment and procedure manuals for Department.
  • Practices appropriately for the safety of patients, (i.e., uses side rails appropriately, disposes of infectious waste appropriately, addresses spill appropriately and initiates incident reports as appropriate).
  • Demonstrates professionalism (i.e., attends or reviews 75% of staff meetings minutes, documenting review with signature and date; actively pursues opportunity to increase knowledge within area of responsibility; maintain patient confidentiality; complies with professional appearance policy; presents at work on time and maintains satisfactory attendance in accordance with department Ill/Absent policy).
