The Epic Trainer is responsible for designing, delivering, evaluating, and maintaining training programs for Epic end users across clinical, financial, and operational departments. This role ensures that employees receive comprehensive, role-specific training on Epic applications to maximize system adoption, efficiency, and compliance with best practices. The trainer collaborates with Epic application analysts, change specialists, subject matter experts (SMEs), and operational leaders to design training materials, conduct classroom and virtual sessions, and provide ongoing education and support.

Required Skills

  1. Design and develop Epic training materials, guides, and e-learning content for end users.
  2. Customize training content to align with role-specific workflows and best practices.
  3. Maintain and update training materials based on Epic upgrades and system changes.
  4. Conduct routine needs assessments to evaluate current offerings versus end-user needs. Create learning plan to address needs assessment gaps.
  5. Facilitate classroom, virtual, and one-on-one training sessions for new hires and existing staff.
  6. Provide at-the-elbow support and troubleshooting for users during system go-lives and updates.
  7. Assess user proficiency and provide remedial training as needed to ensure competency.
  8. Collaborate with IT teams to maintain Epic training environments and ensure they reflect production workflows.
  9. Assist in Epic playground and simulation environment setup for hands-on practice.
  10. Work closely with Epic analysts, IT staff, change specialists, and operational leaders to align training with system enhancements.
  11. Gather feedback from trainees and department leaders to refine and improve training effectiveness.
  12. Communicate training schedules, requirements, and updates to stakeholders.
  13. Ensure training materials and processes comply with HIPAA, Joint Commission, and organizational policies.
  14. Track and document training attendance, competency assessments, and certification progress.
  15. Support regulatory and audit requirements related to Epic training and user education.
  16. Stay up to date with Epic system updates, best practices, and new training methodologies.
  17. Identify opportunities to enhance user adoption, efficiency, and engagement through improved training strategies.
  18. Participate in Epic upgrade training and optimization projects to keep users informed of changes.

Colleague Knowledge – Job Information

Required Experience

Educational Background: Bachelor’s degree in education, Healthcare Administration, Information Technology, or a related field. In lieu of a bachelor’s degree, five year of experience would be considered.

Certification:

  • ATD certification in Virtual, E-Learning, or Instructional Design preferred.
  • Epic Credentialed Trainer (CT) or Epic Certified Trainer (Principal Trainer) in one or more Epic modules required within 1 year of hire.

Other Requirements:

  • 3 years of experience in curriculum development, instructional design, and adult learning principles is required.
  • Proficiency with Epic training environments, e-learning tools, and Learning Management Systems (LMS).
  • Excellent presentation, facilitation, and communication skills to engage diverse audiences.
  • Ability to assess learner needs and adapt training approaches accordingly.
  • Strong troubleshooting and problem-solving skills related to Epic user issues and system navigation.
  • Strong understanding of Epic applications and workflows, with expertise in one or more Epic modules preferred.
